Email is the richest source of vendor data in your organization. Every invoice, renewal notice, signup confirmation, and contract update lives there. Porcia reads it automatically — without touching personal email or storing raw content.

How it works

Porcia connects via a service account (Google Workspace) or app-only auth (Microsoft Entra) and runs curated search queries across your org’s mailboxes server-side. Email content is processed ephemerally — metadata is extracted in memory and the raw content is immediately discarded.

Email forwarding (legacy)

Individual users can forward vendor emails to a personal Porcia inbox address. Works with any email provider, but requires manual rule setup and doesn’t cover historical email.

Set up email forwarding

Legacy option — for orgs that can’t grant domain-wide access
Forwarding only processes emails that match your forwarding rules going forward. It won’t scan historical mail and requires each user to configure their own rules. Domain-wide access is significantly more comprehensive and lower maintenance.

Porcia only processes emails from known SaaS vendor domains and emails that match vendor communication patterns. Personal email is never read, stored, or processed.

Email arrives or is queued

Domain-wide access: Porcia queries mailboxes on a schedule. Forwarding: email arrives at your Porcia inbox address.

AI classification

The email is classified by type (invoice, renewal, signup, OAuth notification, general update) and assessed for vendor relevance.

Metadata extraction

Vendor name, pricing, billing dates, renewal dates, license counts, and other structured data are extracted from the email.

Content discarded

Raw email content is immediately discarded. Only the extracted structured metadata is retained.

Vendor matching

The extracted vendor is matched against Porcia’s global database using domain, name, and alias resolution.

Dashboard updated

The vendor profile is created or updated with the new information. Alerts fire if rules match.

Privacy & security

Porcia never sends email from your accounts, never deletes or moves messages, and never stores raw email content. Access is strictly read-only.

Disconnecting

  1. Go to Settings → Integrations → Email
  2. Click Disconnect next to your connected account
  3. Confirm disconnection
Disconnecting stops new email processing. Historical vendor data discovered from email is preserved unless you explicitly delete it.
